Management Assistant Internship


Description:

Ela Township is seeking qualified candidates to fill a part-time Management Assistant position. The primary duties of this position will be provided advanced level administrative support, analytical work, and policy assistance for Township operations, including assistance with assigned finance and/or human resources functions. This position will conduct various research, data collection/analysis, grant writing, and perform work related with special projects among other items.

A successful candidate in this position will have knowledge of modern personnel administration policies, methods, and techniques; proficiency in budgeting, fiscal management processes and techniques; demonstrate excellent verbal and written communication skills; work effectively with public officials, management, co-workers, and the general public; provide effective coordination with multiple stakeholders and/or vendors; and use critical thinking while employing logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.

Work Schedule: 25 hours per week. Hours are flexible.

Responsibilities:

· Provide responsible and complex administrative/financial support;

· Assist with tracking aspects of the Township’s finances, including preparing and distributing any financial reports as necessary;

· Assist with accounts payable, budget preparation, bank reconciliation and audit processes (as assigned);

· Assist with human resources related matters, including, but not limited to processing bi-weekly and monthly payrolls, employee benefits and programs;

· Research cost-effective solutions to organizational issues;

· Assist with organizing, planning, and evaluating finance and/or human resource related functions;

· Research and recommend policies and procedures based on best practices;

· May prepare monthly board packets, committee and/or other assigned reports as requested;

· Work collaboratively with Township management and staff to provide responsive, courteous and efficient service to Township residents and the general public;

· Assist in developing, planning, and implementing goals and objectives;

· Assist with administrative office duties including answering phones, resident requests, etc;

· Report directly to the Township Manager; and

· Perform any other duties and/or special projects as assigned.

Desired Minimum Qualifications:

· Bachelor’s degree in public or business administration, finance, political science, public policy or related field;

· Minimum of one (1) to two (2) years work experience in local government with a municipality, township, or county agency is preferred; and

· Proficiency with Microsoft Office Suite – Outlook, Word, Excel, PowerPoint, and Teams.

Work Environment / Physical Requirements:

Work is performed in an indoor office environment. May be required to work outside of normal hours of operation at times depending on the needs of the organization. Compensation and Benefits:

The Township offers a starting hourly pay range of $20.00 – $25.00 (DOQ). Benefits include participation in the Illinois Municipal Retirement Fund (IMRF) pension.
